WHAT IS A
CONVENTION ?
A convention is an event which usually takes place on weekends. Everyone with a pass can attend the convention.
The purpose of an event like this is to allow people to meet their favorite actors and actresses by attending Q&As, photo sessions and autographs sessions.
WHAT IS A
PASS/TICKET ?
A pass is what you must buy to enter the convention. It is mandatory to have one to be part of the event. We usually offer 3 types of tickets whose prices can vary according to what they allow you to do. The prices can be different from one event to another.
The VIP tickets are the first ones called for an extra. Then people are called according to the tickets they have.
Tickets are non-refundable and non-exchangeable. In the case of a complete cancellation of the event, you will be refunded.
HOW CAN I BE PART OF A CONVENTION ?
You will find links to the ticketing service to each of our events on our website to buy tickets and extras. A pass is mandatory to enter the convention.
WHAT IS AN "EXTRA GUEST" ?
An extra guest is a guest who is not included in the event’s budget or who is more expensive than any other guest. In this case, the price of their extras can be higher than other guests’, and in a limited quantity. Moreover, their extras are only included in the VIP tickets. You will be able to buy them on the ticketing service as soon as we announce it.
WHAT IS AN "EXTRA" ?
An extra is something you buy to access an activity. You have to buy a pass in order to use those extras.
There are 4 types of extras:
– Autograph: you can have one guest sign one support.
– Photo shoot: you can have your picture taken with one or several guests according to the type of photo shoot you purchased.
– Meeting-room: you will share a private moment with a guest for about 30 minutes with a limited number of people (maximum of 30 persons).
– Themed party: the party will take place on Saturday evenings with some or all of the guests (we will know this information before the convention).
Other extras might be available if the guests are up for it. They will be up for sale on our ticketing service.
You are not allowed to take personal photos with the guests throughout the weekend or you risk to be excluded from the convention.
HOW DO THE Q&As WORK ?
They will last 45 minutes to 1 hour and will be held in the main room of the place of the event. One of our team members will move around the room to allow you to ask the guests questions, using a microphone. You won’t be allowed to go on stage with the guests or ask them about private information. You must ask short questions to make sure others have the opportunity to ask questions as well. None of the extras will happen during Q&As to make sure you don’t miss anything.
HOW TO KNOW WHERE TO SIT DURING Q&A ?
Every ticket comes with a given number, according to the date of purchase that will decide where you sit in the room. You will have to remain at this seat for every Q&A session throughout the event.
Your number seat could be written on your envelope too.
HOW DO THE PHOTO SESSIONS WORK ?
A photo shoot allows you to pose with the guest or guests of your choice. It is just you and the guest for the single shoot and the duo shoot.
HOW DO THE MEETING ROOMS WORK ?
A room is reserved for meetings. You will need to go to a rendezvous point mentioned on the schedule we will hand over at the beginning of the convention. The guest is sitting at a round table with all the participants who can chat freely and ask questions to the guests. The meetings will last 20 to 30 minutes. The meetings are extras so a limited number of people will be able to attend.
WHICH ARE THE AUTORIZED SUPPORTS FOR THE
AUTOGRAPHS ?
The autorized supports for the autographs are your photoshoots, the official support of the event and official items as posters…
HOW DO I KNOW WHEN TO GO TO AN EXTRA ?
Several announcements will be made by the staff members to make sure you don’t miss anything. You will be asked to stay in the main room until we call you during extras to keep things from getting out of hands.
HOW DOES IT WORK WHEN SEVERAL EXTRAS HAPPEN AT THE SAME TIME ?
Preference should be given to the extras that happen during a very limited time. If you have one photo shoot with a guest and a meeting room with another, you need to start with the meeting because the guest won’t wait for you to begin. You will then be able to go the photo shoots that take longer than meetings.
ARE THERE ACTIVITIES/GAMES DURING AN EVENT ?
Games and activities depend on what the convention is about. The theme of the convention will decide what the activities will be about. There can be cosplay contests, quizzes…
WHEN DOES THE CONVENTION STRAT/END ?
It usually starts around 9:30 on Saturday mornings. There is a lunch break from 12:30pm to 1:30pm, and the day ends around 6:30pm. On Sundays, the hours are the same but the day ends at 6pm to make sure people who live far can make it home in time.
WHAT ARE THE DIFFERENT MEANS OF PAYMENTS AVAILABLE ?
You can pay using credit cards or bank transfers. If either of the latter one, you will get your ticket when we receive proof of payment.
IS IT POSSIBLE TO PAY IN SEVERAL INSTALLMENTS ?
Only the big pass may be payable in 2 installments. If you decide to pay by installments, a payment schedule will be sent to you. If you don’t respect that schedule, your purchase will be cancelled.
IS IT POSSIBLE TO PURCHASE MORE THAN ONE PASS ?
Yes, it is. You will need to specify the names of the people who will benefit from the tickets.
IS IT POSSIBLE TO BUY A PASS OR AN EXTRA FOR SOMEONE ELSE ?
It is possible. You just need to share that person’s information and not yours when you are purchasing the item.
CAN I SELL MY TICKET OR EXTRAS ?
The resale of a ticket or an extra is strictly forbidden. If you want to do this, you will have to contact CloudsCon who will let you know if it is possible (exceptional situations).
HOW DO I CORRECT MISTAKES I MADE WHILE GIVING MY INFORMATION ?
If you realize you made a mistake in your name, your email address or else, please contact CloudsCon as soon as possible to make sure you will be able to get your ticket.
WHY ARE THE PRICES OF A CONVENTION SO HIGH ?
The cost of a convention is high because CloudsCon pays the travelling and hotel expenses of the guests attending the event. And they don’t come for free. But CloudsCon will do everything to make sure the prices are affordable to make sure you and the guests have a memorable weekend.
HOW DOES A GUEST ANNOUNCEMENT
WORK ?
It usually happens during the evening (between 6:30pm and 9:30pm) but we will let you know earlier that day that we will be making an announcement. The announcement will be shared on social media (Facebook, Twitter, and Instagram) and on our website. We might share clues with you during the day to help you guess who the guest will be.
HOW TO GET MY TICKET AND EXTRAS ?
You can retrieve your ticket and extras the Friday prior to the event and throughout the whole weekend. The people who can be present for only one day, or those who will be arriving late (because of transportation or else) need to let CloudsCon know days before the event so we make sure someone will be there to welcome you and give you your ticket and extras.
WHAT DOCUMENTS DO I NEED TO BRING TO GET MY TICKET ?
You must bring an ID (passport, driver’s license…) as well as printed proof of purchases of your tickets and extras. Without those documents, you won’t be able to retrieve your pass.

No, it’s forbidden
WHY COULD A GUEST GET CANCEL AND HOW DOES IT WORK THEN ?
Usually, guests have to cancel because of their filming schedule that can change at the last minute. A cancellation of a guest is beyond our control. Extras could be replaced with another guest. Some solutions will be available.
WHAT DO I DO IF AN EVENT IS POSTPONED ?
You don’t need to do anything. You pass will still be valid even if the date changes. If you can’t attend an event because of the change of dates, contact CloudsCon. Proof will be needed for you to get refunded. If an event is cancelled, the guests could still be present if the new dates work with their schedules. An announcement will be made after the change of dates once we get their reconfirmation or cancellation. If a guest has to cancel, their extras will be valid for another guest.
WHAT DO I DO WHEN AN EVENT IS CANCELLED ?
You don’t need to do anything. Refunds will be made three months at the latest. If you haven’t been refunded after three months, please contact CloudsCon.
WHAT DO I DO IF I CAN'T MAKE IT TO A CONVENTION ?
Refunds for tickets and extras will only be possible if the event you bought tickets for is cancelled.
CAN MINORS BE PART OF A CONVENTION ?
A parental consent form is required for minors between the ages of 16 and 18 (the form is available on our website). A photocopy of the ID of the person that signs the form will also be mandated.
Minors under the age of 16 will be able to attend the conventions only if they are accompanied by someone who is at least 18 and who purchased a ticket.
HOW CAN PERSONS WITH REDUCED MOBILITY BE PART OF AN EVENT ?
They just have to let CloudsCon know before the event so we can welcome them properly on the day of the convention.
CAN WE GIVE PRESENTS TO THE GUESTS ?
Gifts to the guests are allowed if they are not bulky or disrespectful, during the autograph sessions.
ARE PHOTOS & VIDEOS ALLOWED ?
Videos are strictly forbidden throughout the whole event. The conventions will be filmed professionally and DVDs will be up for sale shortly after the events. Q&As and extras will feature on them.
Flash photos are allowed when the guests arrive on the stage. Once the Q&As star, you will be ask to stop the flashes and take regular pictures. If a participant takes to many pictures and is an inconvenience to other participants, the staff members are reserved the right to issue warnings.
If several warnings are issued to one participant, they might be asked to leave the Q&A or the convention site if there is a recurrence of warnings.
Photos are forbidden outside of the Q&As area.
IS IT POSSIBLE TO BE TWO PARTICIPANTS IN ONE PHOTO WITH A GUEST ?
Yes, of course.
On a simple photo, you can be two participants in one photo although you will have two tickets for this photo.
However a second participant can be on a duo, trio or group shoot with only one extra.
CAN I GET SEVERAL SUPPORTS SIGNED DURING THE AUTOGRAPH SESSIONS ?
One autograph extra = one signature. You will want to purchase several extras if you want more than one signature.
HOW DO I GET MY PRINTED PHOTOSHOOTS ?
After we printed the photos, the CloudsCon staff will hand them to you on a stand provided for that purpose.
CAN SOMEONE RETRIEVE MY PRINTED PHOTOSHOOTS
FOR ME ?
It is strictly forbidden! Each person need to retrieve their own shoots. A CloudsCon team member will make sure every participant find their own, to make sure no shoot gets stolen.
HOW CAN I SIT NEXT TO A PARTICULAR INDIVIDUAL DURING THE Q&As ?
You will need to send CloudsCon an email to make this request. We will see the possibilities for each case. In the case the request is accepted, the person with the better seat will need to move to be placed next to the person who bought their ticket after them.
HOW GO THE TRANSLATIONS DURING Q&As ?
A translator will be here all the event so you just have to ask him if you have any doubt.
WILLE THERE BE A DVD AFTER THE EVENT ?
Not necessarily. An announcement will be made if there will be a DVD.
COULD I RECEIVE MY DIGITALS PHOTOS ?
Yes. An announcement will be made after each event.
WHAT IS A FANBOOK ?
A Fanbook is a notebook with notes, photos, collages, poems, quotes or else which are put in a nice way in the book to give to a guest who is coming to the convention.
WHO CAN MAKE A FANBOOK ?
Everybody. A random draw will be made by CloudsCon on the facebook group of the event.
IS IT POSSIBLE TO DO A FANBOOK FOR A GUEST WHO IS NOT COMING TO THE CONVENTION ?
No.
WHEN DO I GIVE THE FANBOOK TO THE GUEST ?
The fanbooks will be given to the guests only during autograph sessions. A picture of you and the guest will be taken to immortalize the moment.
HOW DO I PROCEED TO REALISE A FANBOOK ?
You have to register your name under the post fanbook announcement (on the official facebook group) then there will be a random draw to choose the person who will handle the fanbook.
WHO DO I CONTACT TO BE PART OF AN FANBOOK ?
The person who will be in charge of the fanbook. This person will be known after the random draw.
COULD THERE BE MORE THAN ONE FANBOOK ?
There can only be one Fanbook.
HOW MANY PEOPLE CAN MAKE A FANBOOK ?
You can be 2 people or you can do it alone.
